Cruise Lines International Association (CLIA), the global trade association dedicated to the promotion and growth of the cruise industry, is seeking an Administrative Assistant to be based in its Washington, D.C., office. With 15 offices around the world, CLIA represents the interests of the cruise lines, travel agents, port authorities, destinations and industry partners. The Administrative Assistant, an exempt role, will directly support two leaders; the Global Technical & Regulatory, and the Global Public Affairs.
Primary responsibilities include:
Review and analyze documents/work progress to ensure completeness, accuracy and compliance with applicable requirements.
Performs research, information gathering and monitoring related to department’s issues, goals; tracks time-sensitive events and/or deadlines; assists with managing the department budget and with producing correspondence/editing for the department.
Supports both department’s advisory committees for planning meetings (includes organizing agendas, materials, posting committee section of website and on-site activities) and other industry matters as assigned.
Collaborates with financial staff on finance and budget matters.
Updates distribution lists on a continuous basis, in support of both departments staff.
Coordinates with other staff to ensure projects, materials and equipment are organized to carry out the goals and objectives of the department.
Collaborates and coordinates with other departments, as needed. Including support of organization events as might be necessary.
Supports the activities and administrative needs of both leaders and the department’s staff, when needed.
Undertakes special projects and performs other duties as assigned.
Our ideal candidate will possess:
Bachelor’s degree is strongly preferred with some administrative or office experience. Or a minimum of 2-4 years of experience combined equivalent work experience and education.
Strong organizational skills and attention to detail is essential.
Strong written and verbal communication skills.
International non-profit or trade association experience is desirable.
Ability to work independently and as part of a team.
Ability to work effectively with all levels of staff
Ability to multi-task and manage multiple deliverables simultaneously
Strong proficiency in MS Office and other basic software and web applications is required.
